Booking Rooms (including computer rooms/labs)

There are 4 separate room booking systems for the following groups of rooms, all of which use the "mrbs" booking system:

  1. MEETING ROOM BOOKINGS (G22 / G30 / 154): Staff should book their own rooms for G22, G30 and 154. Your name as a booking owner will appear automatically and it is not necessary to enter it. As a booking owner you have rights to delete and edit it. The secretaries may delete and edit any event.
    If you wish to make changes to bookings already in place, please consult the booking owner directly. This can be found by clicking on the event and looking for “Created by”.
    Instructions on how to view, book and delete or edit a room are below.

  1. LEWIN LAB (G12 / G12a / G12c / G12d): Staff and Students may view bookings but not create, delete or edit them. Staff wishing to book a lab should:
  • first check that it is available, then email Zoe Fletcher stating:
  • the module code,
  • which room numbers are required,
  • whether it is a one-off booking or a regular slot which should appear in the University Teaching Timetable.
  • whether it is for a formal assessment i.e. a lab exam (the event will then be highlighted in red on the booking system, and will show on the screen outside the Lewin Lab to warn others that a formal examination is in progress).

This is so that the University Teaching Timetable and the Departmental Timetable can be updated to include the lab booking, if appropriate.
In Zoe's absence, staff may email allsecs@dcs.shef.ac.uk to request a booking and one of the secretaries can book it. Zoe will automatically receive a copy of the email and can amend the university timetable, if appropriate, when she returns.

  1. STUDENT/STAFF BOOKABLE ROOMS (G12e / G006): G12e is available to all DCS staff and students on a first come, first served basis. G006 is the Mobile Computing Lab (for Macintosh Development). Please note: G006 machines may only be booked on an hourly basis (i.e 10am-11am), 30 minute slots are not available. Instructions on how to view, book and delete or edit a room are below.

You can change the view to weekly, daily and monthly by clicking the choices at the bottom of the screen.

In “Day” view, the rooms are shown together side by side: e.g. 154, G22, G30. The name of the room appears at the top of each column with its capacity in brackets.

In “Week” or “Month” view, only ONE room appears and its name appears above the table of dates/times. Check that you are looking at the correct room.

 

To book a room: (back to top of page)

1. Click on any (+) symbol anywhere in the table of dates/times. You DO NOT need to click in the slot or room where you want the booking to start as the next stage will ask you the room, time and date you wish to book.

2. It will then ask you to login. Login using your DCS username and password.

3. Enter the details of the booking. The Brief Description should be the title of the meeting. It is not necessary to put anything in the “Full Description” box. You may choose to enter the type of meeting e.g. ITCOM, Teaching, or leave it as "internal" by default. This will colour-code the booking according to its type.

4. Click the “save” button at the bottom of the screen.

 

To delete or edit a booking: (back to top of page)

1. Locate the booking in “Day”, “Week” or “Month” view.

2. Click on the event.

3. Under the “Description” of the event are 3 links to click on: “Edit Entry”, “Delete Entry” and “Return to previous page”. Click on the one you want.

4. If editing the booking, click “save” after changing the details.

 

F137, MAPPIN BUILDING: (back to top of page)

The room is fully air conditioned and has thirty five workstations running CICS/DEPT managed XP and two special sympodium PC's which connect directly to two digital projectors. The sympodium PC's allow you to draw directly onto the screen of the pc, this is also shown on the digital projectors.

The room also has two CICS/DEPT managed printers which have ucard access. Audio facilities are also available.

The room can (in theory) be split, with partitions separating the two halves. Each half would have its own digital projector, sympoduim and printer, with one side having eighteen PC's the other having seventeen. However, how practical this would be remains to be seen.

All the software that is on the CICS open access room PC's is also available in F137, plus some specialised software from the three departments ACSE, EEE, DCS.

It is a shared teaching facility between the three departments and can be booked for lab classes, tutorials and group project work. It can also be used (but not booked) for individual project work when available.

You can view the availability of F137 by accessing its web page http://143.167.60.77/mrbs/ . Booking early is essential, via your departmental admin (email Zoe Fletcher) for the room booking system, and as it is shared by the three departments and it is likely to be in demand at key times.

When booking F137, if appropriate, could you please state Module Code, Title and approximate number of students likely to attend.

Staff access to the room is by ucard swipe-access. Student access will be available at a later date.

The room will be available between 9am and 5pm weekdays.
