Travel arrangements

Prior to any travel arrangements being made you should ensure that there is sufficient funding available and that you have been given permission by your line manager.

Primarily travel is undertaken as part of a research grant, but if it isn't related to your grant there may be other sources of funding available.

Online bookings/credit card

As many travel elements need to be done over the internet, it is possible to arrange the following by downloading and completing a travel request form. This request form covers bookings for:

  • Flight bookings
  • Hotel reservations
  • Train bookings
  • Conference registration
  • Taxi bookings

You will also need to add a valid account code (WBS or Cost Centre).

Once completed, the form needs to be sent to DCS reception. To ensure there is sufficient funding available, this will be approved before any bookings can be made.

The insurance is free which means you do not need an account code and this way is a lot quicker as you can have access to the travel certificate immediately and don't have to wait for a reply from the Insurance team. Also please note that for anyone who wants to add a personal holiday to their travel then the University will cover this as long as the business part of the trip is longer than the holiday. The University will not cover separate personal holidays​.

 

Using myPurchase

If the supplier will accept Purchase Orders, please complete a requisition (staff only) and submit for approval. For further guidance on how to complete this, please see a quick guide to requisitioning. Students can download a paper version of the requisition which should be returned to reception to add onto myPurchase.
